We have identified key questions about MWA and in our efforts to be transparent to our customers we would like to share Sage’s feedback on each concern.

1. 1095-C Part 2 (fields 14, 15 and 16)

On part 2 of the 1095-C it appears that ‘all 12 months’ is the default for all employees for all 3 fields (14, 15, and 16).  In most cases, if not all, the amount entered for #15 will not be the same for all 12 months, especially for companies with open enrollment midyear.  (i.e. employers will change carriers or have premium changes at some time during a 12 month period due open enrollment.  Currently the ability to select from multiple plan / rate options over the year is not available.)

  • Question:  How will Sage address this functionality as it is not available today?
  • Answer:  Per Sage, a wizard is being created to allow for multiple plans / rate premiums and multiple dates to address this item. Sage anticipates this functionality to be in place by third quarter 2015.
 


 

2. 1095-C Part 3

On part 3 of the 1095-C our question is similar, dependents that were covered for one portion of the year and are now expired are still showing as ‘covered all 12 months’. Is this going to be updated before year end as well?

  • Question: How will Sage address this functionality as it is not available today?
  • Answer: Per Sage this is a known issue and is being addressed. Currently dates are pulling from the employee vs. dependent information. Moving forward, will pull from dependent dates. Anticipated fix is by end of Q2.
 


 

3. Employee ACA Settings Tab

Currently in setup on the Employee ACA Settings tab the customer is required to manually check ‘Receiving Subsidy’ and/or ‘Variable Hour’. Are there plans to automate this, perhaps with a check box in HRMS and Suite?

  • Question:  Today checking these boxes in MWA is a manual process, by employee. Is Sage considering adding this functionality in Sage HRMS HR and/or Payroll to create a more automated MWA process?
  • Answer:  Per Sage, they have no plans to change the employee record to track subsidy or variable hour data.
 


 

4. Excluding Part-Time Employees

Is excluding part-time employees intended to be a manual process? (Meaning, an employer will need to manually delete part-time, non-benefit eligible employees from MWA)

  • Question:  How will Sage address this functionality and how will Sage help employers determine “part-time, non-benefit eligible”?
  • Answer:  Per Sage, this will be handled via “Employee Type” so clients will want to ensure that a “part-time, non-benefit eligible” Employee Type exists in HR and the appropriate employees are aligned to this field. Sage advises that the ability to suppress by employee type is desired to be in place by year end.
 


 

5. Running MWA during payroll processing

Are there any concerns related to running MWA during payroll processing?

  • Answer:  Per Sage, there are no restrictions. The only exception would be if the employer wanted to include the current payroll. If so, then they would need to wait until payroll is completed.
  • Caution:  Blytheco recommends that as a cautionary approach, clients limit all unnecessary activity during payroll processing.
 


 

6. Translation Tables for Payroll Import

Today there are no translation tables provide by Sage for the payroll import (i.e. Sage 100 Payroll and/or other related Payroll may have different ID numbers and we would need to translate the non-workable ID number to a recognizable ID number for HRMS)

  • Question:  How will Sage address this functionality as it is not available today?
  • Answer:  Per Sage, no translation features exist. Sage requires data in the HRMS format and this will be the responsibility of the client or the business partner assisting the client to ensure the data is translated accordingly.
