Do I use “current” or “previous” when printing W-2s?
Select “Current” if the current month is December or earlier or, if after printing the W-2s at year end, you have made any changes to the previous year’s data. If you don’t select “Current,” you will not get the changes that have been made. “Current” pulls the W-2 figures based on information currently stored in the Employee records. If you select “Current” and the current open month is January, the PRW2INFO.MKD file will be overwritten with the new year’s totals (even if you have not yet run a payroll) and cannot be recovered unless a backup is restored.
Select “Previous” if December has been closed or if you need to reprint W-2s and the current year has been closed and the W-2s have been printed and the file saved.
IMPORTANT: It is essential to create an archive of company data files at the end of each year prior to closing the year. Without a backup prior to closing December, there is no way to recover the PRW2INFO.MKD file for the prior year, and all W-2 information will be lost.
